I think we need to issue that all that want to play on our servers have to submit player name and WonID (and E-email) to get the new password. Couldn't we arrange it via the forums so that those who have submitted these details get bumped up to "trusted" or something.

I wrote this late last night so I see I wasn't that clear. This is what I mean:

All players supply WonID and ingame name to us via forums. Once we get those we let them see a special section of the forums called e.g. password. In this section they can get the latest password and nothing else. In that forum we will store all submitted info. Then we copy paste all the info to one sheet in WonID order that is printable for the admins i.e. we easily check in game if someone should be there or not.

If we say that we will change password the first Monday every month ppl will check and know where to go to get the new password.

I volunteer to take in the WonIDs, moderate that section and to make that list.

The only downside of that is that you have no way of confirming that the email address is or stays live.  Emailing the change I think is the most important......

If we say that the password is changed once per month and they can't login to the server they will go to the forums if they want to play. If they are interested I think that they will do it.

Stryker is on top of things now so we can call this plan B.
