Spaces at the LAN

This one is the mother trucker and it will likely be over subscribed.  

We need to have a chat with the hotel to make sure they hold ALL rooms and the Extra rooms they have for us.

Also we will need to figure out away to fairly so people can book.  I think SM INTS and LAN XXIX  should be given preference but it lets see if we can figure out the fairest way.

We also need to confrim the day we open the booking for it too.  One suggestion is the Sunday of LAN XXIX.

That's actually a really neat idea which might also help LAN XXIX attendance if being there gets them a slot at LAN XXX.  Given what you said I think I would say a booking priority of something like this:

• LAN XXIX Attendees (booking at LAN only)
• Supporting Members (no need to split out internationals if we are opening the booking so much further in advance than normal)
• Anyone else

I'd also block off the room bookings for that priority order too.

For reference, the Oliver Cromwell has:

35 Doubles (including the 2 suites)
7 Twins

So their normal max accommodation is 49 people.    I have left a message at the OC for Rob or John to come back to me to discuss overflow accommodation as last time we ended up using some spare staff rooms, but even then we overflowed into other hotels & B&B's.

I also took the opportunity to put a temporary hold on ALL of the rooms for the night of 5th October, on the basis that there's no point discussing a 4 day LAN if we don't have any rooms for the fourth day.   We should let them know asap if we do actually want the rooms on the 5th.

Yes.

We'll also need to consider the Sunday and if you're going to make a day of it or not. The Sunday lunch thing could potentially be an issue so we either tie it up for the day or get out. WHat I wouldn't want to happen is for us to push to have it then find everyone's more or less gone by lunchtime.
